Security, privacy and responsible AI for community engagement software

Public organizations need more than a demo to buy software. This is where IT, privacy, legal and procurement get their answers: how data is handled, how the AI assistant is kept accountable, accessibility, implementation and the documents a purchase needs.

What the record shows

Defensible community engagement: six things you can demonstrate when a decision is challenged

Auditors, councillors and the community ask the same questions. CE Canvas keeps the answers in the project record.

  1. 1

What was open to influence and what was already decided, stated before engagement started.

  2. 2

Who you set out to involve including the groups usually missed, and what you did to reach them.

  3. 3

How methods were chosen and who approved the level of engagement and the plan.

  4. 4

What you heard with every theme traceable to the submissions and conversations behind it.

  5. 5

How you interpreted it what carried weight, what did not, and why.

  6. 6

How it affected the decision reported back to participants and to the decision-makers.

Questions

Common security, AI and procurement questions

Is our data used to train AI models?

No. Documents, submissions and engagement data you put into CE Canvas are used only to produce your outputs. They are not used to train models and are deleted on request.

Where is our data hosted?

In your country. CE Canvas offers in-country hosting in secure, region-appropriate data centres, so your organization can meet its own privacy, data-residency and procurement requirements. Data stays in the jurisdiction you select and is not moved for processing.

How does the AI assistant stay accountable?

Every finding it produces links back to the submission, document or passage it came from, it works from your framework and standards rather than generic advice, and nothing is published, sent or decided without a person signing it off.

Is CE Canvas accessible?

The product and the report-back outputs are built to WCAG 2.1 AA. The accessibility statement and current audit are available on request.

What does procurement receive?

Security, privacy and accessibility summaries, a responsible-AI statement, a sole-source justification template, an implementation plan and vendor information, plus funding guides for Canada, the United States and Australia.

What makes engagement defensible?

Being able to show what was open to influence, who you set out to involve, how methods were chosen, what you heard, how you interpreted it and how it affected the decision. CE Canvas keeps all six in the project record.

Is CE Canvas related to Canva?

No. CE Canvas is an independent community engagement software product for public organizations. Canva is a graphic design product. The names are similar; the companies are not connected.
